Southface Dermatology Clinic – Terms and Conditions
By booking an appointment at Southface Dermatology Clinic, you confirm that you have read, understood, and accepted these Terms and Conditions in full.
1. Definitions
- “Appointment Date”: The scheduled date for your consultation or treatment.
- “Patient”: The individual receiving the Services, which may include yourself or someone you are arranging the appointment for.
- “Services”: Any clinical or administrative services provided by Southface Dermatology Clinic.
- “The Clinic”: Southface Clinic Limited, trading as Southface Dermatology Clinic.
- “Website”: www.southfaceskin.com
- “Working Day”: Monday to Saturday, excluding Sundays and public holidays.
2. Patient Communication and Records
- Correspondence will primarily be sent via email. If you prefer not to receive communication in this format, you must inform the Clinic in writing.
- Patient records are stored securely via Semble, a GDPR-compliant clinical system used for managing bookings, notes, and treatment records. These records are accessed jointly by Southface Dermatology Clinic and Southface Medical Clinic.
- Where appropriate, medical information may be shared with the NHS. If you do not consent to this, please notify us in writing.
3. Use of Digital Platforms
The Clinic uses several digital tools to ensure secure, efficient, and high-quality care:
- Semble: A secure platform used for appointment scheduling, clinical documentation, and record management.
- SignatureRX: Enables clinicians to issue prescriptions electronically, sent directly to your preferred pharmacy.
- Heidi Health AI Scribe: Used during consultations to generate secure, real-time summaries of your discussion. Heidi does not record audio and complies with data protection standards. Your clinician will explain its use and obtain verbal consent before use. If you do not consent, it is your responsibility to inform the clinician.
4. Private Medical Insurance
If you wish to use private medical insurance:
- Appointments can be scheduled with Dr Helen Robertshaw or Dr Alice Plant, subject to your insurer’s approval.
- It is your responsibility to confirm directly with your insurer whether consultations with your chosen clinician are covered under your policy, and to obtain pre-authorisation before your appointment.
- Please note that not all insurers cover consultations with all clinicians, so it is essential that you verify this prior to booking.
- Invoices for insured patients are issued by Civica UK Ltd on behalf of Dr Helen Robertshaw.
- If pre-authorisation is not confirmed by the time of your appointment, you will be required to self-fund and may submit the invoice to your insurer for reimbursement.
- Southface Dermatology Clinic reserves the right to request card details in advance from insured patients to secure payment in the event that costs are not covered by the insurer.
5. Acting on Behalf of a Patient
Parents, guardians, carers, or authorised individuals may arrange appointments or submit medical information on behalf of a Patient. You must ensure you have the appropriate legal authority to do so and that the Patient consents where appropriate.
6. Online Booking
- Online booking is available for self-paying patients only.
- Payment is required at the time of booking.
- For patients using private insurance, please contact the Clinic directly to arrange your appointment.

7. Fees and Payment
- Private Dermatology Initial Consultations:
- £290 for a 30-minute consultation with a dermatologist
- £250 for a 20-minute follow-up consultation or a single lesion check with a dermatologist
- £180 for a skin assessment with skin cancer specialist nurse
- £290 for a skin assessment with skin cancer specialist nurse to include digital mole mapping.
- If you are attending for treatment (e.g., cryotherapy or photodynamic therapy), these appointments will be charged according to the pricing discussed during your consultation.
- Surgical Appointments:
- Fees will be confirmed in advance.
- For surgery appointments at the Christchurch Clinic, full pre-payment is required prior to arrival.
- If treatment is at Nuffield Health Bournemouth, additional hospital charges will apply and are billed separately.
- Urgent After-Hours Consultation: £350
- Additional tests, treatments, or procedures may incur extra charges. These will be explained to you during your appointment.
8. Terms of Payment
- Full pre-payment is required for all dermatology appointments prior to arrival. Invoices will be sent via email, and payment can be made digitally via the payment link on the invoice or alternatively, over the phone with a card detail.
- Unless settled in advance, as per our booking conditions, payment is due immediately after each appointment.
- For all self-funding patients, full pre-payment is required no later than 48 hours before attending the appointment (unless the booking was made online, where full pre-payment is required at the time of booking).
- Card details may be securely taken and held against the patient record as a guarantee.
- If full payment is not received within the required timeframe, the Clinic reserves the right to cancel the appointment, in which case the booking will be cancelled automatically. This condition is clearly stated in your appointment confirmation.
- If payment is not received by the due date, interest may be charged at 4% above the Bank of England base rate, accruing daily.
- The Clinic reserves the right to pass unpaid accounts to a debt collection agency, and additional administrative or legal charges may apply.
- You are fully responsible for payment, whether you are the Patient or acting on their behalf.
9. Card Details and Payment Authorisation
Southface Dermatology uses Stripe to securely process payments. Card details are not stored by the clinic or our practice management system (Semble). Instead, Stripe securely stores card information and provides
Semble with a secure token, which Semble uses to perform transactions. This ensures that sensitive card data is never handled or stored by the clinic.
Stripe is fully compliant with the Payment Card Industry Data Security Standard (PCI-DSS), ensuring the highest level of security for all transactions.
If providing your card details, Southface Dermatology can instruct payments to be taken from your card,
including any outstanding fees/insurance shortfalls in accordance with these Terms and Conditions.
10. Appointment Duration and Late Arrivals
- Appointment fees are based on a maximum duration. If your consultation exceeds this, additional time will be charged in 10-minute increments.
- A 10-minute grace period is permitted for late arrivals. However, your appointment may be shortened or rescheduled, and full charges still apply.
11. Cancellations and Rescheduling
- You may cancel or reschedule an appointment at no charge if done with more than 2 Working Days’ notice. Working days are considered Monday through Friday.
- Cancellations:
- Within 2 Working Days: 50% fee
- Within 24 hours: 100% fee
- To appeal a cancellation fee, you may request a Cancellation Appeal Form from reception. Responses may take up to 10 Working Days.
12. Feedback and Complaints
- Patient feedback surveys and forms are sent electronically after your appointment.
- Formal complaints should be submitted in writing to info@southfaceskin.com.
- All complaints will be investigated and responded to within 5 Working Days.
13. Acceptance of Terms
By booking an appointment—either online, over the phone, or in person—you accept these Terms and Conditions and agree to be liable for any associated costs.
14. Force Majeure
Southface Dermatology Clinic is not responsible for failure or delay in providing Services due to events beyond its control, including but not limited to extreme weather, strikes, epidemics, technical failures, or government actions.
15. Website Terms and Cookies
